Executive Assistant (Part-Time) - Airdrie
Description
Executive Assistant (Part-Time)
Location: Airdrie
Compensation: Hourly - Negotiable Based on Experience
Type: Part-Time (hours fluctuate seasonally - higher in spring/summer)
Hours: 0-20 hours/week - lighter through the winter months, busier in spring/summer
OVERVIEW
We are a young family running a small residential rental portfolio. This position will work closely with us to take weight off our shoulders in day-to-day life and to learn the real estate portfolio with the goal of transitioning into systems-driven operations, so that we can be hands-off.
We wish to hand off much of the ownership of day-to-day operations of the rental business (primary) and other businesses and personal endeavours (secondary), while working together on building and optimizing scalable systems that improve efficiency, reduce costs, and position the portfolio for growth. This is an operational leadership position focused on execution, automation, delegation, and systemization.
This role also supports our personal life - helping with projects like board game development, homeschool-related tasks, and general "get it done" projects across the businesses and household.
CORE RESPONSIBILITIES
1. Operational Management: Oversee day-to-day portfolio operations. Advertise properties. Vet prospective tenants. Coordinate tenant turnovers (inspections, leases, cleaners, etc.). Handle tenant communication, conflict resolution, and problem-solving. Maintain condition of properties (hire and manage contractors/handymen as needed). Take emergency calls. Travel between Airdrie, Crossfield, Didsbury and Sylvan Lake occasionally. Prepare paperwork for RTDRS (Residential Tenancy Dispute Resolution Service).
2. Systems & Process Development: Audit current processes and identify inefficiencies. Design and implement repeatable SOPs. Build scalable systems to automate and streamline portfolio management. Implement property management software. Delegate smaller tasks to a virtual assistant (VA) or handyman/contractors.
3. Personal & Family Support: Manage personal tasks, errands, and household logistics. Help with administrative tasks (e.g. board game development). Support homeschool-related tasks for my wife. Research and general "get it done" projects. Build simple, repeatable systems to keep things running smoothly.
REQUIRED SKILLS & EXPERIENCE
Available and flexible; willing to take on a wide variety of tasks. Highly organized and detail-oriented. Strong leadership and interpersonal skills. Strong written communication skills (e.g. contracts and tenant correspondence). Comfortable working independently.
IDEAL CANDIDATE PROFILE
Based in Airdrie (preferred). Proactively improves systems rather than maintaining the status quo. Comfortable delegating and managing contractors. Strong intuition with people and tenant dynamics. Willing to do whatever the day requires - no task is beneath them. Interested in long-term operational excellence and scalability. Rental management, hospitality, furnished or short-term rental experience would be a huge asset. Handyman capabilities would be a bonus.
HOW TO APPLY
Please email your resume as well as a description of why you would be a good fit to raddrent@shaw.ca. Confirm you are based in (or near) Airdrie.
