Executive Assistant (NOC 12100)
Description
Enotecca Wineries and Resorts Inc., located at 957 East Hastings Street, Vancouver, British Columbia, V6A 0H1, is currently looking for an Executive Assistant (NOC 12100) to join our team and provide high-level administrative and organizational support to executive leadership.
This is a full-time, permanent position to start as soon as possible. The position requires 35 hours of work per week. The wage is $40.00 per hour. The language of work is English. We offer vacation entitlement, extended health, and an employee wine allowance.
Responsibilities & Tasks:
• Provide high-level administrative and organizational support to executive leadership.
• Manage executive calendars, schedules, appointments, meetings, and travel arrangements.
• Prepare correspondence, presentations, reports, meeting materials, and other executive documentation.
• Review & organize reports, correspondence, operational information & prepare summaries and materials for executive review.
• Coordinate executive and management meetings, prepare agendas, record meeting minutes, track action items and follow-ups.
• Serve as a liaison between executives, employees, clients, vendors, and external business partners.
• Handle sensitive and confidential information with discretion and professionalism.
• Prepare, update, and maintain recurring operational and executive reports.
• Compile information and supporting documentation required by executive leadership for business and operational matters.
• Maintain contracts, agreements, templates, and related documentation, and coordinate renewals, signatures, and follow-ups.
• Maintain accurate corporate records, document-control systems, and executive files.
• Coordinate administrative procedures and support executive leadership with day-to-day operational priorities.
• Provide administrative coordination to sales and marketing activities, including scheduling, documentation, contact records, and related follow-up.
• Assist with internal meetings, events, and other executive administrative activities.
• Perform other related executive administrative duties consistent with the position.
Requirements & Qualifications:
• Completion of a bachelor's degree in public administration, public policy, business administration, political science, or a related field is required.
• Minimum 3 years of experience as an Executive Assistant, Office Manager, senior administrative professional, or in a similar related role.
• Demonstrated experience providing executive or senior management support.
• Strong written and verbal communication skills in English.
• Excellent organizational and time-management abilities, with strong attention to detail and follow-through.
• Proficiency in Microsoft 365, including Outlook, Excel, Word, and PowerPoint.
• Ability to handle sensitive and confidential information professionally.
• Experience with reports, contracts, document workflows, and record management.
• Experience supporting sales or marketing teams is an asset.
• Familiarity with CRM or document-management systems is an asset.
• Experience in the winery, hospitality, real estate, or a related industry is an asset.
• Event planning or project coordination experience is an asset.
