Job Type: Full-Time

Job Summary
We are looking for a reliable, organized, and computer-savvy Office Assistant to support our daily office operations. The successful candidate will be responsible for managing clients, handling administrative tasks, coordinating with employers, and assisting with employment agency activities.
The ideal candidate should have excellent communication skills, strong computer knowledge, and the ability to multitask in a busy office environment.
Key Responsibilities
Greet and communicate professionally with clients, candidates, employers, and visitors.
Answer phone calls, respond to emails, and handle general client inquiries.
Maintain client and candidate records, files, and databases.
Assist with employment agency operations, including communicating with job applicants and employers.
Schedule interviews, appointments, and meetings.
Collect and organize resumes, applications, identification documents, and other required information.
Post job advertisements on online platforms and assist with candidate sourcing.
Screen and coordinate candidates based on employer requirements.
Follow up with candidates and employers regarding interviews, job placements, and applications.
Enter and update information accurately in computer systems and spreadsheets.
Prepare documents, reports, correspondence, and other office materials.
Perform data entry and maintain accurate electronic and physical filing systems.
Assist with invoicing, billing, and other basic administrative duties when required.
Coordinate with internal staff and external clients to ensure tasks are completed on time.
Maintain confidentiality of client and candidate information.
Perform other general office and administrative duties as assigned.
Required Skills & Qualifications
Previous experience in an office administration, customer service, recruitment, employment agency, or similar role is an asset.
Excellent verbal and written communication skills.
Strong computer skills, including Microsoft Word, Excel, Outlook, Google Workspace, and internet-based systems.
Comfortable learning and using new software and online platforms.
Strong organizational and time-management skills.
Ability to multitask and prioritize work in a fast-paced environment.
Professional and friendly manner when dealing with clients and candidates.
Strong attention to detail and accuracy.
Ability to work independently as well as part of a team.
Ability to handle confidential information professionally.
Previous employment agency or recruitment experience is an asset.
