The Role

As Legal Assistant, you will play a key role in supporting a busy solicitor's practice and ensuring files move efficiently from start to finish. You will work directly with lawyers, clients, financial institutions, registry offices, realtors, accountants, and other professionals.

The successful candidate will be entrusted with significant responsibility and client contact, making professionalism, attention to detail, and strong organizational skills essential.

Key Responsibilities

Real Estate
Manage residential and commercial purchase, sale, refinance, and mortgage files from opening to closing.
Prepare conveyancing documents, trust letters, statements of adjustments, reporting letters, and other closing documentation.
Coordinate with realtors, lenders, clients, opposing counsel, and Alberta Land Titles.
Conduct title searches, registrations, discharges, and related due diligence.
Monitor critical deadlines and ensure timely completion of transactions.

Wills & Estates
Prepare draft wills, powers of attorney, personal directives, and related estate planning documents.
Assist with applications for probate and estate administration.
Prepare correspondence, affidavits, inventories, and supporting documentation.
Communicate professionally with clients, beneficiaries, financial institutions, and government agencies.

Corporate & Commercial
Prepare and file incorporations, annual returns, director and officer changes, share transactions, and corporate reorganizations.
Maintain and update corporate minute books and records.
Conduct corporate searches and assist with due diligence matters.
Prepare resolutions, organizational documents, and closing materials.

Practice Support
Manage lawyer calendars, limitation periods, reminders, and file deadlines.
Draft, proofread, and format legal documents and correspondence.
Maintain accurate electronic and physical filing systems.
Assist with client intake, file openings, conflict searches, and file closures.
Prepare accounts, trust requests, and administrative documentation.
Contribute to maintaining a professional, efficient, and client-centered office.

Qualifications

The ideal candidate will possess:

A Legal Assistant diploma or equivalent education and experience.
Prior experience in a law firm environment.
Experience in one or more of real estate, wills and estates, or corporate law.
Strong proficiency with Microsoft Office and Adobe Acrobat.
Exceptional organizational and time-management skills.
Excellent written and verbal communication abilities.
The ability to manage multiple files and deadlines simultaneously.
Strong attention to detail and commitment to accuracy.
Professional judgment, discretion, and a client-service mindset.

Preferred Experience

While not required, preference may be given to candidates with experience in:

Alberta residential or commercial real estate transactions.
Probate and estate administration matters.
Corporate minute books and corporate filings.
Legal accounting and trust procedures.
Conveyancing software and Alberta Land Titles systems.
