Position Summary:
We are seeking a detail-oriented and proactive QA and Procurement Admin Assistant to support quality assurance and procurement functions within the sports supplement industry. This dual-role position is critical to ensuring the integrity of our ingredients and the compliance of our products with industry regulations. The ideal candidate will have a strong understanding of raw material sourcing, nutritional ingredient specifications, and quality control practices relevant to dietary and sports supplements.
Key Responsibilities:
Procurement Support:
• Maintain a comprehensive understanding of ingredients used in sports supplements, including functional ingredients (e.g., amino acids, proteins, botanicals), excipients, and flavoring agents.
• Communicate with suppliers to source high-quality, compliant raw materials; review and evaluate documentation such as Certificates of Analysis (COAs), technical data sheets, and specifications.
• Negotiate pricing, payment terms, and service level agreements to support cost-effective procurement while maintaining product quality.
• Maintain and update cost sheets for raw materials and finished products to reflect current pricing and supplier terms.
• Coordinate the procurement process to ensure timely delivery of materials in alignment with production schedules.
• Utilize knowledge of Good Manufacturing Practices (GMP), Quality Assurance (QA), and Quality Control (QC) as they relate to nutraceutical sourcing and manufacturing.
• Support the Project Manager in procurement-related tasks and cross-functional collaboration.
• Perform other procurement-related duties as assigned.
Quality Assurance / Quality Control Support:
• Coordinate internal and third-party testing for raw materials and finished products to ensure compliance with product specifications, label claims, and regulatory standards.
• Manage and document customer complaints, deviations, and non-conformances; support investigations and corrective/preventive actions (CAPAs).
• Complete and organize QA/QC documentation including product release records, batch files, and test reports.
• Assist with product label management, including coordinating artwork reviews, ensuring label compliance with regulatory requirements (e.g., FDA/Health Canada/NHPD), and maintaining version control.
• Support Regulatory Affairs Manager in preparing and updating regulatory submissions and documentation.
• Perform other QA/QC duties as required.
Qualifications:
• Diploma or degree in Food Science, Nutritional Science, Chemistry, Quality Assurance, or a related field.
• Previous experience in procurement or QA/QC within the sports supplements, food, or nutraceutical industry is a strong asset.
• Working knowledge of sports nutrition ingredients, GMP, and quality standards (e.g., NSF, Informed Sport, FDA 21 CFR Part 111).
• Strong attention to detail and ability to interpret technical documents and specifications.
• Proficient in Microsoft Office, particularly Excel for cost and inventory tracking.
• Excellent communication and negotiation skills.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
