Position Overview:
We are currently seeking a dedicated and organized Secretary/Administrative Assistant to join our team. The successful candidate will provide administrative support, manage office tasks, and assist with immigration-related documentation for clients. If you are detail-oriented, proactive, and enjoy working in a fast-paced environment, this is the perfect opportunity for you.
Key Responsibilities:
Manage client appointments and schedule consultations.
Answer phone calls and respond to client inquiries.
Prepare and organize immigration forms and documents.
Assist with client onboarding and maintain accurate client files.
Handle office correspondence (emails, letters, and memos).
Perform general administrative tasks, including filing, photocopying, and faxing.
Assist with data entry and maintaining the immigration database.
Coordinate meetings, both internal and with clients.
Maintain office supplies and equipment inventory.
Provide support to immigration consultants and lawyers as needed.
Qualifications:
High school diploma or equivalent (a post-secondary education in business or a related field is an asset).
Proven experience in an administrative or secretarial role (preferably in the legal or immigration field).
Strong communication and organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Attention to detail and the ability to multitask.
Fluent in English (additional languages such as French, Mandarin, or Punjabi are an asset).
Ability to maintain confidentiality and handle sensitive client information.
