Job Title: Executive Secretary
Location: Remote
Job Type: Part-Time
About the Role: As an Executive Secretary, you will provide high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. You will also be responsible for ensuring the smooth operation of the executive office.
Key Responsibilities:
Manage and maintain executives' schedules, appointments, and travel arrangements.
Record, transcribe, and distribute minutes of meetings.
Monitor, screen, respond to, and distribute incoming communications.
Liaise with internal staff at all levels.
Interact with external clients and partners.
Review operating practices and implement improvements where necessary.
Prepare and edit correspondence, communications, presentations, and other documents.
File and retrieve documents and reference materials.
Collect and analyze data to prepare reports and documents.
Manage and maintain executives' schedules, appointments, and travel arrangements.
Arrange and coordinate meetings and events.
Record, transcribe, and distribute minutes of meetings.
Monitor, screen, respond to, and distribute incoming communications.
Coordinate project-based work.
Qualifications:
Proven experience as an executive secretary or similar administrative role.
Proficient in MS Office and “back-office” software (e.g. ERP).
In-depth understanding of the entire MS Office suite.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
Education:
High school diploma required; associate's or bachelor's degree preferred.
Experience:
A minimum of 3 years of experience in an administrative role reporting directly to upper management.
