ABOUT THE POSITION:

Reporting to and working very closely with the President and CEO of EduNova, the Executive Assistant will perform a variety of administrative and operational support tasks. This person is a key member of a small team dedicated to raising the profile of Nova Scotia's education and training expertise.

Responsibilities:

  • Actively manage and support the coordination of the CEO and President's schedule
  • Support CEO and President, in the scheduling, coordinating, and preparation for committee meetings. Including but not limited to creating agendas, distributing agendas, and managing meeting logistics
  • Attend committee meetings, take meeting minutes using AI and EduNova's framework, and distribute to committee members in a timely fashion and to EduNova standards.
  • Support and/or lead as assigned, committee work and/or projects working with appropriate EduNova team members.
  • Create standard operating procedures (SOPs) and continuously improve upon them to ensure consistency and efficiency of routine work.
  • Write and distribute various forms of communication externally maintaining EduNova's quality standards
  • Assist in the preparation, proof-reading, and finalizing of regularly scheduled reports.
  • Maintain a filing system for the organization on SharePoint
  • Maintain contact lists of membership and committees in SharePoint and SimplyCast.
  • Book travel arrangements for the CEO, and maintain records related to this
  • Respond to general inquiries via email and phone, directing them to the appropriate staff member and/or actioning them yourself.
  • Support financial record keeping as requested and required by CEO and President and/or accountant.
  • Support event planning working with EduNova staff as requested
  • Other duties as required from time to time to support the work of the organization

Skills and Knowledge Required:

  • Post-secondary education in business administration, Office Information Technology or another related field.
  • Minimum of 2 years of experience related to the above responsibilities
  • Extensive computer proficiency in a Microsoft Windows environment (including applications such as Word, Excel, PowerPoint, Teams, SharePoint, Outlook, etc.).
  • Excellent organizational and time management skills and attention to detail
  • Excellent written and oral communication skills
  • Able to work independently in a fast-paced hybrid environment
  • Familiar with calendar scheduling and management best practices
  • Ability to create and audit reports, documentation, guides, presentations, etc.

  • Enjoy working as part of a team, displaying good interpersonal skills and a positive attitude
  • An amazing attention to detail and take great pride in your work
