ACCOUNTABILITIES

We are seeking a highly organized and detail-oriented Administrative Assistant to join our YYTeam! The Administrative Assistant will provide a variety of administrative support services to the members of the Operations team and will report to the Administrative Services Coordinator. This position offers an opportunity to work in an fast-pace office environment, gain valuable administrative experience, and contribute to the smooth operation of the organization.

The main accountabilities for this role will include:

  • Organizing to ensure an effective office environment.
  • Supporting the electronic and paper records management systems.
  • Composing and typing letters and reports.
  • Prepare and maintain training records, presentations and department committee work.
  • Scheduling appointments; greeting visitors; screening telephone inquiries.
  • Provide administrative support to the Operations Department.
  • Other related duties as required.

IDEAL QUALIFICATIONS

  • Successful completion of high school.
  • Diploma Office Administration or Information Management from a recognized college.
  • Minimum of two to five years' experience in a responsible administrative support position.
  • Thorough knowledge and experience in using the full suite of Microsoft Office applications - Word, Excel, Access, PowerPoint and Outlook (proficiency testing may be required)
  • Ability to create complex documents and materials requiring the interpretation and manipulation of data.
  • Knowledge of office administration practices and procedures.
  • Ability to communicate clearly and effectively orally and in writing, including preparing clear and concise records and reports.
  • Ability to plan and organize activities and to set priorities.
  • Ability to establish and maintain effective work relationships will all levels of staff.
  • Must obtain and maintain a valid Restricted Area Identification Card (RAIC).
