General - Punctuality, ample notification if you expect to be off work, personal and office neatness and cleanliness, absolute confidentiality about patients , minimum of personal telephone calls at work, avoidance of excessive socialization with patients, staff, or others, exclusion of other work during office hours.
Work Priorities -
1. Check for messages and book patients. Always try to accommodate patients depending on available time slots. Consult physician in urgent cases if slots are unavailable and patient needs to be seen the same day,
2. Answering the phone to book appointments. Triaging patient appointments,
3. Registering the patients - make sure their demographics and health card information (including version code) is entered accurately in the system. Chart labeling to be done on a daily basis,
4. Placing the patients in the exam rooms ensuring exam table paper is changed and the patient is comfortable,
5. Make sure the patient charts are retrieved and a day sheet is printed for the next day prior to leaving the office,
6. Booking specialist appointments, faxing referrals, notify patients regarding appointment and record in the referral form,
7. Responding to phone calls from labs, pharmacies and others - use intercom facilities to contact physician in exam room if the call is of an urgent nature. Record patient messages on the specified sheets and placed on the physician tray,
8. Ensure the patient's samples are sent to the lab and the computer is turned off completely on a daily basis before the office is closed,
9. Refrigerator temp should be recorded in am and pm daily and notify physician if temp is out of range,
10. Notify patients if they miss appointments.
11. Non-OHIP related services – upon request by the physician payments will be collected from patient for services not covered by OHIP and a receipt issued to the patient,
12. Telephone etiquette - be brief and positive with patients,
13. Incoming patient reports to be placed in physician tray for review. Call back patients to be booked and recorded in the report. If a patient is requesting the results of a test or consult, check that our office has received them. If we have not, track down result by phone, prior to putting on the physician desk.
