The position of Rental Coordinator demands a blend of strategic planning, marketing acumen, and strong customer service skills. This person ensures that the facilities are appropriately marketed and meet the specific needs of their diverse renters.
Essential Duties and Responsibilities include, but are not limited to the following:
• Create online and offline strategies to reach potential venue renters.
• Respond to requests for rental space in a timely manner either by phone, email or in-person
• Contact the person requesting space to gather information, and answer any questions, explain the process, and provide tours
• Ensure all documentation is complete regarding rental agreements
• Book space, ensuring there are no scheduling conflicts or duplications
• Coordinate and communicate set-up requests with the custodian and tech staff
• Assist with set-up when necessary and participate in hosting duties when required
• Be available to respond and problem solve the day of the event should the renter have concerns
• Follow-up on any reports of problems
• Follow-up on any renter complaints
Working Conditions
• Two days per week, and the occasional Saturday, 1:00 PM – 7:30 PM with two paid 15-minute breaks and one unpaid 30-minute lunch.
• The occasional returning of calls and emails outside of the normal work hours may be required.
• Work out of Trinity United Church in Guelph and or occasionally work remotely.
• If working remotely, the coordinator has access to a laptop or desktop computer, a printer, and has reliable internet access.
• Lifting or move up to 20lbs may be required.
