We are seeking a detail-oriented and organized Shipping Coordinator to join our logistics team. The primary responsibility of this position is to contribute to the consistent and efficient workflow pertaining to Shipping & Receiving and Inventory. This position supports all departments in system-based tasks and regularly communicates with all departments by phone and email and bodies external to the organization as required. Organizational skills and Time Management are vital to this role.
Duties:
1. Assess the day's workload and priorities through information acquired in the Pre-Shift, conversations with Management and order sequence as represented in Famous.
2. Build Orders including Inventory and Load Labels and provide warehouse with pertinent information regarding Customer Label Requirements.
3. Prepare recorders and paperwork for Outbound Deliveries ensuring to include customer specific verbiage, instructions, price lists (if req'd) appointments and Bills of Lading.
4. Enter pertinent information into respective portals, print confirmation and affix to internal paperwork.
5. Review Receiving List to plan order sequence throughout the day and issue New Orders based on product availability and schedule.
6. Assist in Auditing both Inbound and Outbound Deliveries, noting discrepancies both on paperwork, in ERP system and email the pertinent departments / individuals.
7. Preparing Repack Worksheets when a Repack Request is triggered, fill in all pertinent information and close the Repack at the end of the shift if not completed.
8. Complete 'Shipping and Receiving Document' for all Inbound and Outbound Deliveries - Teams>Food Safety>FormMachines>S&R Document.
9. Complete 'Returns Form' for all product returned by Customers - Teams>Food Safety>FormMachines>Return Form include submission link in an email to pertinent departments / individuals.
10. Participate in Investigations as they pertain to Inventory, Shipping and Receiving errors or discrepancies.
11. Monitor all forms of communication i.e. Phone, Email or Teams and relay information to the Team Leader in a timely manner.
12. Monitor iTrade portal for changes to customer orders and update the ERP to reflect these changes. Inform pertinent Salesperson.
REPACKING (SOP Food Contact Surfaces / Production Line Sanitation):
1. Prepare for Repacking by wearing a smock, hairnet and nitrile/latex gloves
2. Clean work surface, scales, knives (see SOP Blades) and cutting boards (as they apply) with Orange Solv, Water and Final Rinse
3. Fill in Repack Worksheet (if designated) with all pertinent information 'hand in' all Pallet Tags being used for Repack.
Adhere to Food Safety and Health & Safety requirements (see Good Manufacturing Practices') while adhering to Case/Hour Metrics.
PRODUCTION (SOP Packing Division):
1. Prepare for work in Production by wearing a smock, hairnet and nitrile/latex gloves
2. Shipping and Receiving tasks as previously outlined or as required/designated
3. Move product and or materials to and from the Production Line using Material Handling Equipment (Runner)
4. Perform the positions of Dumper, Sorter, Feeder, Packer or Stacker as required
5. Adhere to Food Safety and Health & Safety requirements (see Good Manufacturing Practices') while adhering to Case/Hour Metrics.
OTHER DUTIES (which include, but are not limited to):
1. Cleaning of the facility - Sweeping, Mopping/Power scrubbing (see SOP) of floors and coolers, Dusting, Wiping or Rinsing of equipment, tools and containers.
2. Cleaning of Trailers - All trailers (Bayshore) should be swept and all debris removed once they have been emptied. Trailers should be power-washed once Monthly (or as required). All Cleaning, whether as described or in addition to, should be recorded onto the provided logs.
3. Cleaning of Coolers - All Coolers should be swept and all debris removed once they have been emptied or to a minimum of once Monthly. Coolers should also be power scrubbed at this time and power washed as required to a minimum of once Annually.
4. All garbage containers should be emptied, replacing bags to a minimum of once Daily, typically completed at the end of the day.
5. Cleaning of the premises (exterior) - The premises should be kept free of debris and plant growth and while much of this work is contracted, employee involvement maybe required until such work has been completed.
Qualifications
-Previous experience in shipping, receiving, or warehouse operations is preferred.
-Familiarity with package handling processes and e-commerce logistics is a plus.
-Proficient in using MRP systems for inventory management.
-Ability to operate warehouse equipment safely, including reach trucks.
-Strong attention to detail with excellent organizational skills.
-Basic math skills for accurate order processing and inventory management.
-Ability to work effectively in a fast-paced environment while maintaining high standards of quality.
