Executive Assistant (Location: Hybrid)

Looking for a professional, polished, and highly organized Executive Assistant to help keep our business operations running smoothly. In this key role, you'll support day-to-day activities and serve as a trusted extension of the executive team — communicating confidently on their behalf, managing schedules, and handling sensitive information with care and discretion.

Location: HRM (Remote Work Available)
What You'll Be Doing
Managing calendars, booking appointments, and coordinating meetings and travel

Preparing meeting materials, drafting professional correspondence, and following up with clients as needed

Acting as a first point of contact for internal and external inquiries — in person, by phone, and by email — with professionalism and warmth

Communicating clearly and confidently on behalf of the executive in both written and verbal interactions

Handling administrative tasks including scanning, printing, data entry, filing, and assembling client documents

Liaising with external contacts, including government agencies (e.g., CRA) to retrieve or clarify information

Maintaining accurate client records and ensuring timely follow-ups

Supporting special projects and assisting with event planning, reporting, or document preparation as needed

What You Bring
2 years of experience in an administrative or executive support role (experience in a professional services firm is an asset)

Professional polish and confidence in communication — whether you're representing the executive in an email, phone call, or client meeting

Excellent writing skills and a high level of attention to detail

Proficiency with Microsoft Office (Word, Excel, Outlook, Teams)

Strong organizational and time management skills, with the ability to prioritize competing deadlines

Sound judgment, discretion, and the ability to work independently and as part of a small team

A calm, proactive approach and a commitment to providing exceptional service
