Exterior Finishing is looking to add a talented person to our team.

As we continue to evolve, we are seeking a dynamic and adaptable Office Administrator to play a key role in supporting our expanding operations. Key Responsibilities:
• Oversee day-to-day office operations, including office supplies, equipment, and space management, with opportunities to implement new systems and processes.
• Manage phone and email communications, ensuring smooth and efficient interaction between team members and external contacts.
• Coordinate scheduling, meetings, and appointments, adapting as needs shift and evolve.
• Help maintain and improve filing systems (digital and physical), exploring new tools to increase efficiency and organization.
• Support HR in various tasks such as onboarding, employee records, and assisting with recruitment as the team grows.
• Assist in organizing office events, team-building activities, and company-wide initiatives as our company culture continues to develop.
• Provide support across departments, taking on new responsibilities and projects as needed in a rapidly changing environment.
• Handle payroll processing and ensure accurate and timely distribution to employees.
• Assist bookkeeper with accounts payable, ensuring timely remittances of vendor invoices and maintaining accurate records.
• Oversee accounts receivable, including invoicing clients, tracking payments, and ensuring that all transactions are recorded accurately.
• Assist with billing processes, ensuring proper documentation and communication with clients regarding payments and outstanding balances.
• Troubleshoot office-related issues and identify solutions that improve overall office functionality and employee experience.

Qualifications:
• Experience in office administration, office management, or a related role, with experience in payroll, accounts payable, accounts receivable, and billing.
• Strong proficiency in MS Office (Word, Excel, Access, Outlook), with a willingness to learn new software or tools as needed.
• Ability to adapt and thrive in a changing environment, with a proactive and solution-oriented mindset.
• Strong organizational and multitasking skills, with attention to detail and time management.
• Excellent verbal and written communication skills.
• Comfort with taking on evolving responsibilities and collaborating across teams.
• High school diploma required; post-secondary degree preferred.
• Experience with accounting or finance software is a plus.
