Position: Office Administrator
Location: Vernon, BC
Hours: 9:00 AM – 5:00 PM, Monday to Friday
Wage: $23 – $30 per hour (depending on experience)
Vacation: 2 weeks accrued vacation for the first year, 3 weeks accrued vacation for the second
year, and four weeks accrued vacation starting in the third year.
Benefits: Eligible after 3 months of employment.

Role Overview:
The Office Administrator will be the first point of contact for our customers—answering calls,
responding to online inquiries, and managing day-to-day administrative tasks. You'll be
responsible for scheduling our technicians, coordinating service appointments, and ensuring
smooth communication between customers, field staff, and management. This role also includes
gatekeeping for managerial calls, helping the leadership team stay organized and efficient.

Key Responsibilities:
1. Customer Service & Communication:
o Promptly answer incoming phone calls, emails, and social media messages in a
friendly, professional manner.
o Address customer questions, schedule service or sales appointments, and provide
basic information about our services.
o Triage inquiries and escalate complex issues to the appropriate technician or
department.
2. Scheduling & Coordination:
o Manage the daily calendar for HVAC, plumbing, and electrical service calls.
o Assign and dispatch technicians based on availability, location, and skill set.
o Monitor job progress and update customers about arrival times or any schedule
changes.

3. Gatekeeping & Administrative Support:
o Screen calls for management, ensuring only relevant or urgent matters reach them
directly
o Maintain organized records of customer interactions and job details in our CRM
or office system.
o Prepare basic documents or reports (e.g., daily appointment rosters, follow-up
notes), as requested by managers.
4. Office Tasks & Record-Keeping:
o Perform data entry for service tickets and invoices.
o File, scan, and maintain digital or paper records (customer files, vendor details,
etc.).
o Order office supplies and track inventory if needed.
5. Collaboration & Team Support:
o Communicate effectively with technicians regarding scheduling, parts availability,
or customer updates.
o Coordinate with the accounting or finance department on payment or invoice-
related questions.
o Assist with additional administrative tasks or special projects to support the
overall team.

Qualifications:
 High School Diploma (or equivalent).
 Previous administrative or customer service experience is highly desirable.
 HVAC or Plumbing knowledge not required but considered an asset (willingness to
learn terminology is key).
 Strong communication skills—clear, friendly phone manner and professional writing
style.
 Proficient with Microsoft Office (Word, Excel, Outlook) or similar tools.
 Experience with CRM or scheduling software is a plus.
 Organized and detail-oriented, with the ability to multi-task in a busy office
environment.
 Positive attitude and a problem-solving approach to customer inquiries.
