Position: Receptionist

As our full-time Receptionist, you'll play a vital role in our team's success. From managing appointments to providing exceptional customer service, your attention to detail and dedication to excellence will help us maintain our high standards of service delivery.

Key Responsibilities:

• Answer a busy multi-line phone system (20-100 calls per day) and direct calls.
• Greet customers, check in for appointments, and provide / review testing paperwork for completion.
• Schedule up to 20-40 appointments per day with precision and accuracy, building strong relationships with clients and third-party collection sites.
• Generate appointment confirmation emails.
• Manage the printer / fax machine and direct paperwork to appropriate staff members.
• Match printed results with the work orders and organize into Shift order.
• Take payments and create invoices in Sage accounting software (for private customers).
• Prepare the daily shipment(s) for the courier.
• Provide administrative support to team members. Administrative support will include filing, gathering and packing testing supplies to courier to third-party testing sites, creating training certification cards, helping trainers prepare for training courses, and project specific support.

Qualifications:
• 3 years' experience in a reception or administrative role.
• Proven ability to achieve tight deadlines, manage large work volumes, and effectively navigate stressful situations.
• Oilfield or medical experience preferred.
• Passion for delivering outstanding customer service.
• Strong computer skills, including proficiency in Microsoft Office (Excel, Word, MS Access, etc.).
• Excellent communication, interpersonal skills, and ability to work in a team.
• Superior organizational skills, attention to detail, and problem-solving abilities.
• Ability to handle confidential and sensitive issues with professionalism and good judgment.
