Safety, Maintenance, and Operations Support Clerk

COMPANY OVERVIEW

ROLE:
This role supports our HS&E, Safety, Maintenance, and Operational teams by managing personnel, and fleet data within the automated systems of NPT and our customer data management systems. These tasks are accomplished by collecting the required documentation, entering data, initiating maintenance, and safety processes. This is an on-site, 8-hour per day position Monday to Friday 8:00 – 17:00. Start and end times are flexible to accommodate the needs of the team members.
There may be a requirement for after-hours calls.
Reporting to: Director H S E / Maintenance

ROLE RESPONSIBILITIES:
Maintenance:
Monitor and update the automated Fleet Maintenance System and advise the Maintenance Manager when equipment is coming due for scheduled maintenance.
Review the automated Daily Vehicle Inspection Reports to identify maintenance / repair items reported by the drivers.
Support the maintenance manager, and operations by booking appointments with repair facilities.
Log into our suppliers' automated systems and update equipment information.
Maintain the hard copy - Equipment files.
Other Duties as assigned.

Safety - HS&E:
Monitor and update the company automated Driver Qualification System and advise the HS&E Manager when driver qualifications are due for re-certification.
Assign the required web-based training to drivers as required.
Log into our suppliers' automated systems and update driver information.
Review the automated Driver Daily Log portal to review non-compliance with regulatory standards. Work with the drivers in a supportive role to assist them with maintaining compliance. Advise the HS&E Manager when a driver consistently fails to comply with the regulations.
Maintain the hard copy - Driver Qualification files.
Maintain track in and out inventory of driver consumables.
Monitor the automated IFTA data management portal to ensure operators are entering fuel purchases and prepare the quarterly reports for filing.
Other Duties as assigned.
Support the HS&E manager when plating and insuring new equipment.

Operations:
Input orders into Dispatch system.
Track and monitor orders out for delivery.
Respond to customer inquiries by phone & email.
Provide support and direction to driving staff as required.
Check incoming paperwork for accuracy and completeness.
Prepare customs paperwork for deliveries as required.

Qualifications/Skills/Job Requirements:
Fluency in speaking, reading, and writing in English.
1 year office administration experience would be an asset.
1 year experience in a transportation environment would be an asset.
Experience working with software applications such as Motive, Load2Day, and office track would be an asset.
Working knowledge of MS Office programs specifically Excel and Outlook.
Ability to learn third party automated data and information systems.
Valid Class 5 Driver License
